PRIVACY POLICY MAY 2018.

 

Dear Client,

In compliance wit EU data protection laws, The General Data Protection Regulations (GDPR), we have updated our Privacy Policy to protect your EU privacy rights regarding information that we ask you for which is necessary to safely and professionally administer our services to you. We also require and request your consent to receive appointment text reminders and special offers from us after 25th May 2018 should you wish to do so. Remember, your preferences and information can be updated, reviewed or deleted at any time.

 

SECTION 1 - PERSONAL INFORMATION 

       When you become a client with us, we require certain basic information from you, including your name, address, email address, and phone number.  We refer to this information as ‘basic client information.’ Depending on the type of treatments requested by you, it may be necessary to ask you questions and record your answers in writing regarding your health status, skin type, prescription medication, allergies, surgery, past treatments, lifestyle queries, UVA exposure etc. We do this with the sole reason of the regard to your well-being so that we may determine your suitability for our various treatments and to avoid any possible adverse reactions to them by you. We are also required to do so by our insurers and underwriters should any eventuality occur. Your ‘basic client information’ may also be required by us in order to fulfill purchase contracts we might have with you, such as Gift Voucher credit and pre-paid treatment course commitments.

 

SECTION 2 - HOW WE USE YOUR PERSONAL INFORMATION

      We use the Client Information that we record as a reference and log of the treatments you are booking and have undergone. With regard to more specialist treatments such as Laser, Diathermy etc. it is necessary to record patch test results, skin type, time periods between appointments, adverse reactions, acknowledgement of understanding, treatment progress, treatment course records and session logs so that we are able to manage and oversee your treatments properly. We also sometimes take photographic records to visually record your condition and its progress solely for our own use.

     We may be required by law to make available your basic Personal information to respond to a lawful request for information we receive, or to otherwise protect our rights in any legal situation. Other than this, we will never discuss, use or divulge your personal information to anyone or any other third party. Rest assured that we will respect your confidentiality at all times as has always been our policy.

      We may from time to time on rare occasions, send you text messages by phone regarding exclusive discounts and special offers. Please note that we do not use any of your information to market our treatments and products in any other way. We also send all clients appointment text reminders which is a complimentary service that our clients have found to be very useful.

 

SECTION 3 - CONSENT

      When you provide us with your personal information on becoming a client, you do so on the understanding that you consent to our using it solely for the specific reasons as stated in sections 1 & 2. If we ever ask you for any information for a secondary reason such as marketing, we will ask you directly for your expressed consent and provide you with an open and ongoing opportunity to decline its use at any time.

 

SECTION 4 - SECURITY & HOW WE STORE YOUR INFORMATION....

      To protect your personal information, we take all reasonable precautions to make sure your personal information is not lost, misused, accessed, disclosed, altered or destroyed by any third party. We store your information in 2 ways....

 

1 - Your personal ‘basic client information’ such as your name, address, telephone number, email address, past appointments and treatment and product purchase history is stored on a secure encrypted private cloud based server which is controlled and maintained by our specialist booking system provider which also handles and records our encrypted online bookings. This information is highly secure and can only be accessed by us via our personal passworded system log on portal.

 

2 - Other information such as client health status, skin type, prescription medication, allergies, surgery, past treatments, lifestyle queries, UVA usage, patch tests results, adverse reactions etc, need to be accessed by our therapists in our treatment rooms. Therefore it is recorded on record cards which are stored in index drawers in a secure location in our salon which is constantly monitored by our staff and our CCTV security system. Our building is also equipped with an insurance approved commercial burglar and fire alarm system.

 

      Your information will only ever be accessed by the management and staff of Complete Beauty for the sole purpose of running our business and reasons as defined in section 1 & 2. Our staff are confined to strict confidentiality rules as defined by us which our therapists have endorsed to adhere to in their contracts of employment. By not booking an appointment with us for a period of 18 months from your last appointment, we will automatically assume that you are no longer a client of Complete Beauty, and all of your records can be deleted from both our cloud based server database, and your treatment record cards can be shredded without notification. Should you wish to become a client again, you will need to re-submit your 'general client information. 

 

SECTION 5 - ACCESSING  YOUR INFORMATION....

      As an EU resident, you have a total right of access to any general and personal information we have on record regarding you and to request that your personal information be corrected, updated, or deleted. If you would like to exercise the option of deletion, please contact us through the contact information below. By doing so, you will no longer be deemed a client.

 

SECTION 6 - CHANGES TO THIS PRIVACY POLICY....

       We reserve the right to modify this privacy policy at any time, so please review it frequently. Changes & clarifications will take effect immediately upon their posting on this website. If we make material changes to this policy, we will notify you via this website that it has been updated so that you are aware of circumstances regarding your information. If our business is ever sold, acquired or merged with another company, your information may be transferred to the new owners so that they may continue to retain and treat you as a valued client. Your information will then be covered by the terms of their privacy policy of which it will become their responsibility notify you of. We undertake to make this an agreements with the new operator should the situation occur.

We can only do so by way of a free personal appointment in our salon so that we are able to positively identify you.
